Upload Assistant is a tool that prepares YouTube upload packages (descriptions,
chapters, tags and short links) from a video's transcript. It is operated by
the Upload Assistant team ("we"). This page explains what information the tool handles
and why.
Who can use it
Upload Assistant is offered to businesses we work with. Accounts are created by us
for named people at those businesses; there is no public sign-up.
Information we handle
- Your Google account details. When you sign in with Google we
receive your email address, your name and Google's identifier for your account.
We use them only to recognise you and connect you to your organisation. We do not
receive your Google password and do not access your Gmail, Drive, YouTube or any
other Google data.
- Files you upload. Transcripts and chapter marker files are used
to produce the package you asked for. They are sent to our AI provider for that
purpose and are not kept by Upload Assistant once the package has been
produced.
- The packages you generate. We store each generated package with
its video ID, title, the time it was made and who in your organisation made it, so
you can open it again and so we can apply usage limits.
- Your channel setup. Links, tracking parameters, fixed description
text and example descriptions that define your channel's style.
- Your Bitly access token. If you connect Bitly, the token is stored
encrypted and used only to create short links in your own Bitly account when you
ask for them. It is never displayed again after you enter it.
- Technical logs. Our hosting provider records standard request
information, such as IP address and time, to keep the service running and
secure.
Cookies
Upload Assistant sets one cookie, which keeps you signed in. We do not use
advertising or analytics cookies and do not track you across other sites.
Who we share information with
We do not sell your information. It is shared only with the service providers
needed to run the tool:
- Google, for sign-in, and for the fonts loaded on the results
page.
- Anthropic, which provides the AI model. The transcript, video
title and your channel's style information are sent to it to write the
description, chapters and tags.
- Bitly, when you create short links: the destination address,
link title and tags are sent to your Bitly account.
- Railway, which hosts the application and its database.
Everyone in your organisation who has an account can see your organisation's
channels and generated packages. Other organisations cannot. Our own staff can
access your organisation's data when needed to set up, support and maintain the
service.
How long we keep it
We keep your account, channel setup and generated packages for as long as your
organisation uses Upload Assistant. When you stop, or at any time on request, we
will delete them. You can disconnect Bitly yourself at any time under Settings,
which deletes the stored token.
Your choices
You can ask us for a copy of the information we hold about you, to correct it, or
to delete it. Depending on where you live, you may have further rights under your
local data protection law.
Changes
If we change this policy we will update the date at the top of this page, and tell
you directly if the change is significant.
